Brain

A project's memory: write down what was discussed or decided, file it under the area it belongs to, and read it back by branch, date or person.

Overview

Brain records what was said and decided on a project, who wrote it and when. Notes sit on branches (for example Area 19 → Pumps), nested to any depth, with an always-present General branch for everything else.

  • Tag a note Decision, Action, Info or Risk.
  • Write a note after the meeting and give it the meeting's date; the time you really wrote it is kept.
  • Nothing is deleted: notes are cancelled (struck through), branches are archived.
  • Internal only — clients never see Brain.

The full guide is in the User Manual chapter.

Access & Permissions

  • Writing needs a paid plan (Paid Solo, or a member of an organisation with an active paid plan). Free accounts do not see the Brain button.
  • Reading: the project owner, its team members and the organisation admin. After a plan ends the notes stay readable but cannot be changed.
  • View-only team members can add notes.
  • You edit your own notes; the author, the owner or the organisation admin can cancel or restore one; only the owner or organisation admin moves a note to another branch.
  • Moving a branch is for the organisation admin (the owner when the project has no organisation).

Writing a Note

  1. Click the round brain button at the bottom right of any page.
  2. Pick the project and branch (+ New branch creates one under the selected branch).
  3. Type the note, optionally pick a tag, and leave Meeting date empty for "now" or set a past date.
  4. Save note, or press Ctrl+Enter. Unsaved text is kept in your browser per project.

Branches

  • Names must differ under the same parent (capitals ignored); Pumps can exist under every area.
  • General cannot be renamed, archived or moved.
  • Archive hides a branch and everything under it; tick Archived on the Brain page to see it and restore it.

Reading, Finding & Maps

  • Open Brain from the project page. Normal shows the branch list and the notes of the selected branch, newest meeting first, with filters for text, tag, person and dates.
  • Find a branch (2+ letters) searches branch names and the text of notes, and lists every match with its path (for a note match, a quote of the newest matching note). Open one, open it in a new window with ↗, or tick several and Read ticked together for one merged timeline.
  • Map draws the branches as a mind map; click the number in a branch to see its notes. By date shows each branch as a lane through time with notes as circles (a number means several that day).
  • A + on a branch adds a note there; in By date, clicking an empty part of a lane adds one on that day.

Troubleshooting

  • No brain button — Brain needs a paid plan; free accounts can still read the notes of projects they belong to.
  • "The meeting date cannot be in the future" — use the date the meeting actually took place.
  • Cannot move a branch — only the organisation admin (or the owner of a project with no organisation) can.
  • Branch disappeared — it was archived; tick Archived and restore it.
  • No Map / By date switch — hidden on phone-sized screens.

FAQ

Can I delete a note?

No. You can cancel it: it stays, struck through, and can be restored. Edit your own notes instead if you only need to correct them; the earlier text is kept.

Is note text sent anywhere?

No. It is not put in emails or in the activity log, which only records that a branch changed or a note was cancelled, restored or moved.
