Overview

Datasheets provides pre-built, equipment-specific specification templates for 46 equipment types across 17 categories — pumps, tanks, thickeners, valves, heat exchangers, compressors, conveyors, crushers, mixers, filters, fans, screens, hydrocyclones, pressure vessels, dryers, and piping specialties.

Fields auto-calculate where they should (for example, total head = static + dynamic on pump datasheets), every value can be traced back to a reference, and datasheets are fully revision-controlled with professional PDF export.

Access & Permissions

  • Datasheets belong to a project and follow the standard project access rules.
  • Files are locked while a review workflow is active — no edits until the workflow is approved or cancelled.
  • Shared links (7-day expiry) open in a read-only viewer where fields display as static text.

Getting Started

  1. Open your project and click Add Datasheet.
  2. Choose the equipment type from the dropdown.
  3. Enter a name, file number, and description.
  4. The equipment-specific template loads with the relevant fields already arranged into sections.

Choose the equipment template before entering technical data. The selected type controls the fields, units and automatic calculations shown in the editor.

Filling in Specification Fields

  • Each template has domain-specific sections. For a pump: Equipment Info, Duty Description, Performance Data, Construction, Drive, Paint, Shipping.
  • Type values directly into text and number fields.
  • Use the dropdowns for things like insulated types, fluid states, and test methods.
  • Auto-calculations update in real time — for example, Total Head = Static + Dynamic on pumps.

Save regularly using the Save button; the current revision is preserved on every save.

References & Notes

Adding references

  1. Click the References tab.
  2. Add reference text entries (e.g. “Basis of Design document Section 3.4.1”).
  3. Each reference gets a sequential number automatically.

Linking fields to references

  • Every specification field has a reference dropdown (shown as Ref. 1, Ref. 2).
  • Select a reference to link it to that field.
  • In read-only mode, linked references appear as numbered badges next to the value.

Notes

Notes work the same way as references but are for implementation notes. A compound key system (R:0 for references, N:1 for notes) keeps the two lists independent.

Revisions

  • Alpha mode (default): new datasheets start at Rev A; create further revisions (A → B → C …), each a copy of the current file.
  • Promote to numeric: when ready for formal issuance, promote to Rev 0, then 1, 2, 3…
  • Older revisions open as read-only with a banner pointing back to the latest revision.

Exporting to PDF

  1. Click the PDF download button.
  2. EngCoSuite generates a professional PDF with:
    • A cover page: org logo, project info, and revision history with author/checker/approver.
    • Content: the equipment-specific sections with all specification values.
    • Footer: “Generated by EngCoSuite”.
  3. The filename follows the pattern {filename}_{clientNo}_{componentType}_Datasheet.pdf.

Sharing

  • Click Share to generate a signed URL with a 7-day expiry.
  • The link opens a read-only viewer with all fields displayed as static text; linked references show as numbered badges — no account required.

Review Workflow

  1. Author creates the datasheet and fills in the fields.
  2. Checker reviews for accuracy and completeness.
  3. Approver gives the final sign-off.
  4. The datasheet is locked during review — no edits are allowed.
  5. PDF exports include the full workflow history.

Troubleshooting

My field values disappearedOpen the correct revision — older revisions are read-only snapshots and may not contain your latest changes.
