Transmittals

Package selected project documents at their current revisions and issue them to a client contact for review — with per-document comments, per-recipient approvals and a final resolution.

Overview

Transmittals are the formal record of “what was issued, to whom, when, for what purpose, and the outcome”. You select project documents (at their current revisions), send them to a client contact for review/approval, and track each recipient's response.

  • Transmittals are numbered automatically per project: TR-{project no}-{001}.
  • Each document gets a temporary signed viewer link valid for 7 days.
  • CC recipients review individually; the primary To contact makes the final resolution once all CCs have reviewed.
  • Transmittals are permanent records once sent.

Access & Permissions

  • Transmittals require the organisation's M Module add-on.
  • Only the client users who are the To or CC contacts can submit a review; team-member CCs are copy-only.
  • The To contact can resolve only after all CC recipients have reviewed.
  • Each contact submits one review per transmittal.

Creating a Transmittal

  1. Open your project and go to the Transmittals section.
  2. Click the + icon (Create Transmittal) to open the Create Transmittal modal.
  3. To (client contact) — required.
  4. CC (copy only) — multi-select of Client Contacts and Team Members. Team members are copy-only; replies are the responsibility of the client.
  5. Subject — brief line (max 255).
  6. Purpose/Reason — e.g. “Issued for Client Review”.
  7. Message — describe the transmittal.
  8. Expected Reply Date — required.
  9. Select the Documents to include (at least one), then click Send Transmittal.

Adding Documents

  • The document picker is a tabbed checklist per type: CPD, CPFD, Datasheet, Calculation, Piping System, List.
  • Each entry shows Name (Rev X) — the current revision is sent.
  • The live summary confirms your selection (“No documents selected.” until you pick one).
  • Recipients open each document through a View button backed by a temporary signed viewer link valid for 7 days.

Status & Deadlines

  • Find transmittals under Transmittals in the Doc Control menu (columns: TR #, Project, Subject, To, Purpose, Status), or in the project's Transmittals section.
  • Status badges: Pending Review (yellow), Approved (green), Approved w/ Comments (blue), Rejected (red).
  • The detail page shows the Purpose card and a deadline card with “Expected reply: {date}”, days remaining/overdue, and a progress bar.

CC recipients who haven't reviewed within 1 day of the deadline are automatically marked No Action, and the To contact is emailed to make the final decision.

Client Review & Approvals

While the transmittal is Pending Review, each client recipient sees the Your Review panel with three buttons:

  • Approve — optional comment.
  • Approve with Comments — required comment.
  • Reject — required comment.

Each review is confirmed via a dialog noting that “Your review will be recorded. The final resolution will be made by the primary contact.” Clients can also post a per-document comment on any document while pending.

Final Resolution

  • The primary To contact sees Resolution — “Waiting for CC review” — with the list of still-outstanding CC reviewers until all have responded.
  • Once all CCs have reviewed, the panel becomes Final Resolution — “All CC members have reviewed. Review their comments below, then make the final decision.” with a CC Reviews Summary.
  • The To contact then chooses Approve, Approve with Comments, or Reject, setting the transmittal status.
  • After resolution the page records the final status, who resolved it, when, and the resolution comment.

Comments

  • General (non-document) comments use Add Comment: + Post Comment while the transmittal is Pending.
  • Document-level comments render inline under each document and under the CC Review Summary.
  • After resolution, the CC Review Summary lists each reviewer's badge, timestamp, comment, and their per-document comments.

Email Notifications

  • On creation, emails go to the To contact (“A new Transmittal has been issued for your review”) and all CCs (“You have been CC'd…”), with the TR number, subject, project, purpose, documents count, CC list, and message.
  • Buttons include View & Respond to Transmittal / View Transmittal, plus Register Here for unregistered contacts (signed link, 7 days); links expire in 30 days.
  • When the last CC resolves (including auto-resolve), the To contact gets “All CC members have reviewed Transmittal {number}”.

Troubleshooting

Which revision of a document is sent?

Can a CC contact decide the outcome?

No — CCs review individually; only the primary To contact makes the final resolution once all CCs have reviewed.

What happens if a CC never reviews?

Within 1 day of the deadline they're auto-marked No Action, so the To contact can proceed to the final resolution.
