Run a formal Author → Checker → Approver review cycle on any document, with file locking, reject/resubmit rounds, and full traceability.

Workflows is EngCoSuite's internal check-and-approve review cycle. An Author submits a document at a given revision, a Checker verifies it, and an Approver formally approves it.
From the detail page you can Back to Project or View File — the document opens at the base revision in a new tab.
Reject (checker while pending, or approver while in review)
Resubmit (author)
| Status | Badge | Meaning |
|---|---|---|
| Pending | yellow | Awaiting the checker |
| In Review | blue | Checked, awaiting the approver |
| Changes Requested | red | Rejected, awaiting the author's resubmission |
| Approved | green | Review complete, file unlocked |
| Cancelled | grey | Stopped, file unlocked |
Emails are sent at every transition (Workflow Created, Ready for Approval, Changes Requested, Resubmitted, Approved), each with a View Workflow button. Workflows past their duration days show red/overdue indicators and appear on the dashboard's Pending Tasks.
| Issue | What to do |
|---|---|
| A file I need to edit says it's locked | A workflow is active on it. Ask the author to cancel it, or wait for the review to finish. |
| I can't start a workflow for this file | The file may already have an approved workflow at the current revision — bump the revision first. Or the file already has an active workflow. |
| My Checked / Approve button is disabled | Only the assigned checker can check (while Pending) and only the assigned approver can approve (while In Review). |
| “Workflows require an upgraded plan” | Workflows need an unrestricted plan (or Paid Solo for self-review). Upgrade in your settings. |
Which document types support workflows?
All six: CPD, CPFD, Datasheet, List, Calculation, and Piping System.
What happens to the file during review?
It is locked — no edits are possible until the workflow is approved, rejected, or cancelled.
How are rejections tracked?
Each rejection round creates a new alpha sub-revision (a, b, c…) under the same base revision, keeping a full trail.
Can I work solo?
Yes — on the Paid Solo plan you can run a self-check / self-approve workflow.
