Deliverable Register

Maintain the master list of documents to be produced and handed over on a project, tracking type, discipline, tier, status, progress, responsibility and dates.

Overview

The Deliverable Register is the per-project document delivery register — the master list of every document to be produced and handed over. It tracks each deliverable's type, discipline, criticality tier, status, progress %, responsible person, and planned/forecast/actual dates.

  • Deliverables can be linked to real documents in the system (CPD, CPFD, Datasheet, List, Calculation, Piping System) or stand alone as Other.
  • The register powers a Project Completeness percentage.
  • View every project's register from one global page, sorted by due date.

Access & Permissions

  • Any project member can view the register.
  • Add, edit, link, unlink, and export require edit rights on the project (or superadmin).
  • No changes are allowed once the project is archived.
  • The global page is only shown in the menu to users who can create projects.

Adding a Deliverable

  1. Open your project and go to the Deliverable Register (or the Deliverables section on the project page).
  2. Click + Add Deliverable to reveal the inline form.
  3. Fill in the fields (see below) and click Add Deliverable.
  4. For any type other than Other, EngCoSuite also creates a real document file at Rev A (“Created from Deliverable form”) and auto-links it to the deliverable.

Deliverable Fields

  • Type — CPD, CPFD, Datasheet, List, Calculation, Piping System, or Other.
  • Existing DocumentCreate New, or pick an existing project document (choosing one locks the Doc # and Title to it).
  • Doc # — e.g. P&ID-001.
  • Title — required.
  • Type-specific fields — e.g. length/diameter units for CPD, component type for Datasheets, list type for Lists.
  • Discipline — Process, Mechanical, Piping, Electrical, Instrumentation, Civil, HSE, or Other.
  • Tier — T1 - Critical, T2 - Significant, T3 - Standard.
  • Planned Date / Forecast Date / Actual Date — schedule tracking.
  • Responsible — unassigned or a team user.
  • Notes, and the Handover and Client Approval checkboxes.

Editing & Progress

  • Click the pencil icon to edit the row — Doc #, Title, Type, Discipline, Tier, Status, Progress %, dates, Responsible, Notes, Handover, and Client Approval.
  • Update Progress % from the row, or type directly into the inline percent box on the project page (AJAX, recalculates project completeness instantly).
  • Setting progress to 100% automatically forces the status to As-Built.
  • Delete soft-deactivates the deliverable (shown strikethrough on the project page); a Reactivate (+) button brings it back.

Linking Documents

  • Click the green link icon and choose the document type, then the document, then Link.
  • Linked rows show a green badge with the document name and an Unlink icon.
  • Linking fills the Doc # automatically if it was empty.

Tiers mark criticality: T1 Critical, T2 Significant, T3 Standard. The register filter row lets you view All / Overdue / Due Soon / Unlinked, plus per-type buttons (CPDs, CPFDs, Datasheets, Lists, Calculations, Piping Systems).

The Global Register

  • The /deliverables page shows all deliverables across your projects, sorted by due date.
  • Stats at the top: Total / Complete / Overdue / Due Soon (7 days), plus a Project Completeness progress bar.
  • Filter by project or by status (All / In Progress / Overdue / Due Soon / Complete).
  • The Days column shows Done, Today, Xd, Xd late (red row), and Xd (warning ≤ 7 days).
  • Use the View Register eye icon to jump into a specific project's register.

Exporting to CSV

  • Click Export CSV (top-right, requires edit permission).
  • Downloads {project_number}_deliverables.csv with Doc #, Title, Type, Discipline, Tier, Status, Progress %, Responsible, Planned/Forecast/Actual dates, Handover, Client Approval, and Notes.

Troubleshooting

FAQ

What is Project Completeness?

A percentage calculated from the register, updated in real time as deliverable progress changes.

Can a deliverable point to an existing document?

Yes — pick it from the Existing Document dropdown, or link one later with the link icon.

How do I track a deliverable that isn't one of the eight types?

Use type Other — it doesn't create a system file but tracks the item like any other deliverable.

Does deleting a deliverable delete the document?

No — delete only soft-deactivates the register row; the linked document file is untouched.
